Events and Exhibitions Guidelines

 

In the academic year, the Library is open Monday through Thursday from 9 am – 9 pm, Friday from 9 am – 6 pm, and Saturday from 1 pm – 5 pm, and Sunday 1 pm – 9 pm; and observes the Holiday closures of the College.  

Installing Exhibitions  

For exhibitions including special or archival materials, the Archive Librarian and Art & Architecture Librarian must approve the use and assist in the installation of the materials. There is a loan form for use of archival materials. 

If you are including any library materials in the exhibition, you must give materials to the circulation desk check out to “On Exhibit”  

Otherwise, you have the responsibility of installing the exhibition. The installation should begin no later than two to three days before the exhibition. Ideally, there should be a week before the exhibition for you to begin installation. 

  

De-installing Exhibitions  

The de-installation of the exhibition is your responsibility. Please return any library or archive materials as agreed upon above. If there were books moved or used in the exhibition, please return them to the circulation desk. Remove pins, tape, and patch the walls, if needed.  When repairing the wall, you must use Foundation Building’s paint which can be found in the 6th fl. Painting Office. The Library walls are semi-gloss, and the exhibition niche is flat.  

As stated in the agreement, any exhibition material left in the Library for more than a week after your de-installation will be discarded. 

 

Exhibition Equipment and Tools 

 

Printing  

The Library will print scans of archival materials and wall-text; anything else you’d like to print is your responsibility. For large-format prints, email image files to medialab@cooper.edu and fill out order forms.  Archival Epson P9570 or Plotters 5270 & 7270.  Exhibition descriptions should be printed on Photo-Tex and be at least 36 x 42 inches.  

 

Vitrines and Pedestals  

The Herb Lubalin Study Center has ten vitrines. The tops are separate from the bases, and the case has a plexiglass cover. The bases are each one metal bracket with four wooden legs inset and held in place with a single screw. Interior dimensions 46 x 22 inches. Email sasha.tochilovsky@cooper.edu  with show dates and the number of vitrines needed.  

The School of Art has some shelves, pedestals, and display cases that are available through the Painting Office or Exhibitions Coordinator. The age and condition of these vary, so some clean-up or surface repair may be necessary. Please email corinna.ray@cooper.edu  

 

Audio and Visual Equipment 

Audio/Visual equipment can be signed out from the school-wide AV / Multimedia Services (on LL1 of 41 Cooper Square), and/or from the AV department in the School of Art. Some equipment is in high demand for both classes and presentations, so when submitting your proposal, please include information about any anticipated AV needs. You are responsible for securing equipment.
